Keep the employee side simple.

The person returning the equipment should understand who requested the return, what needs to come back and exactly what to do next. Instructions arrive by email, and the kit includes a printed instruction sheet and tape for packing. No account, no IT ticket thread.

What if the laptop still doesn't come back?

We can run the return process. We can't force someone to hand over the laptop.

  • Emails a reminder every 4 days after the box is delivered, up to 7 (28 days).
  • Stops reminders as soon as the return label is scanned.
  • Keeps the return visible as outstanding.
  • On the 7th reminder, notifies the admin who placed the order.

Employee offboarding equipment questions.

When should we start an employee equipment return?

As soon as the departure is confirmed. You can place the return while the employee is still working, or after they have left.

Can ShiplyTech start the return before the employee's last day?

Yes. Place the order whenever you know about the departure. Use a personal email if their work account will close before the box arrives.

What if the employee has already left?

Start the return with their current home address and a reachable personal email. We have no special access to former employees; the return depends on them packing and sending the device.

What equipment can ShiplyTech retrieve?

Laptops in the US, Canada and the UK. In the contiguous US also monitors, iMac 24, the 5-slot laptop box and peripherals. A work phone can be returned for a $9 add-on with a laptop or 5-slot box. An order can include more than one box.

Who contacts the employee?

We do, by email. The employee gets a personal tracking link with their return label and reminders until the device ships back. No account needed.

Does the employee need to find a box?

No. We send a padded laptop box with a compartment for the cord.

Who pays for shipping?

Shipping both ways is included in the price. We buy the outbound and return labels after payment.

How does IT know whether the laptop was returned?

The order shows both tracking numbers and carrier events, including delivery to the destination on the order. A signed webhook can also report status changes to your own systems.

What happens if the employee doesn't return it?

We email the employee a reminder every 4 days for up to 7 reminders (28 days). On the 7th, we notify the admin who placed the order so follow-up is theirs. There is no refund when a device is never returned.

Does ShiplyTech guarantee equipment recovery?

No. We run the return process and follow up, but we can't force anyone to hand over a device, and we don't offer in-person retrieval.

Can ShiplyTech automatically start a return from our HR or identity system?

Not today. There are no HR, identity or ticketing integrations. You can start returns from the dashboard, the API, or a CSV or Excel upload.

Where does the laptop go when it comes back?

It depends on the order: back to an address your company chooses, into ShiplyTech warehouse storage (for later redeployment or disposal), or into ShiplyTech secure disposal.

What does a laptop return cost?

$95 for a US laptop return, with the box and shipping both ways included. Canada is $145 and the UK is $250 (laptops only).

Do we need a subscription?

No. You pay per return. No setup fee, subscription or contract.
